Job Summary / Team

This position offers comprehensive administrative support to the Systematic team. It is suitable for an experienced administrator with a keen eye for detail and a hands-on, proactive approach. The team comprises three members in London with a fourth currently being recruited in Boston.

Responsibilities

  • Departmental Administration: Ensuring the smooth running of the department daily, including monitoring the Systematic Admin and Meeting Request mailboxes, handling ad hoc requests, ordering supplies, processing invoices and expenses, creating Purchase Orders (PO’s) in Workday, assisting with office moves, and managing seating plans. Keeping accurate records of internal and external meetings.
  • Client Relations: Arranging client meetings, organizing schedules, creating agendas, and organizing rooms and refreshments.
  • Meeting Coordination: Assisting in scheduling internal and external meetings and interviews, booking meeting rooms, arranging catering and AV support when needed, and collating committee meeting packs.
  • Travel Management: Arranging travel for team members, including air, rail, car service, hotel bookings, and conference registrations. This includes preparing detailed travel agendas and organizing visas.
  • Administrative Back-up: Providing on-site support for events and covering during holidays or absences to ensure uninterrupted operations.

Key Skills & Experience

  • Proficient in Microsoft Office: Outlook, Word, Excel, PowerPoint.
  • Ability to multi-task and adapt quickly to shifting priorities.
  • Strong attention to detail, speed, accuracy, and a quick learning ability.
  • Enthusiastic, robust team player willing to be flexible to the team's requirements.
  • Excellent English and communication skills.
  • Assertive, reliable, and resourceful.
