Job Description

This is an exciting opportunity to provide high-level Personal Assistant and administrative support to a busy Real Estate team of seven professionals, including a Fund Director, Asset Managers, an ESG Lead, and a Research Manager. You will ensure the smooth running of day-to-day operations by balancing priorities, coordinating business activities, and supporting key reporting and governance requirements.

Working closely with senior stakeholders, you will coordinate reports and presentations, manage governance deadlines, arrange travel and meetings, support compliance processes, and provide high-quality administrative support. A key focus of this role is ensuring that all reports and presentations are updated, approved, and distributed on schedule.

Key Responsibilities

Daily Operations & Organization

  • Manage team calendars and diaries effectively.
  • Coordinate meetings, including arranging logistics, room bookings, and catering as required.

Travel and Logistics

  • Arrange all travel, accommodation, and detailed itineraries across the UK and Europe.

Documentation and Governance

  • Prepare professional meeting minutes, accurately record actions and decisions, and actively monitor follow-up activity.
  • Manage reporting schedules, governance deliverables, and distribution lists.
  • Coordinate updates from various contributors, ensuring adherence to key business dates.
  • Guarantee that all reports and presentations are reviewed and distributed on time.

Compliance and Administration

  • Coordinate document approvals and support ongoing governance processes.
  • Ensure all materials meet company standards prior to distribution.
  • Maintain accurate property records and databases, updating information and producing reports from internal systems.

Qualifications and Skills

Skills & Experience

  • Proven experience in a PA, EA, or senior administrative support role.
  • Strong proficiency in diary management, meeting coordination, and travel planning.
  • Experience in preparing meeting minutes, tracking action items, and managing documentation flow.
  • Demonstrated ability to manage reporting schedules, governance deliverables, and stakeholder communications.
  • Experience maintaining records and generating professional reports.

Technical Skills

  • Proficiency in standard office suites: Outlook, Word, Excel, PowerPoint, and Teams.
  • Comfortable learning and utilizing new technologies and AI-powered tools.
  • Experience working with and maintaining internal systems and databases.

Working Environment

Office Collaboration
