Purpose of the Role
The main purpose of this role is to maintain a professional presence at the front reception desk, offering assistance to all personnel visiting or utilising the building, from daily visitors to permanent tenants. The role requires sustaining a professional outlook to deliver exceptional service and create a positive lasting impression on everyone.
Key Responsibilities
- Maintain the reception area to be clean, tidy, and welcoming, meeting five-star audit standards.
- Maintain a very high standard of personal appearance at all times, displaying a courteous, professional, and helpful nature. Ensure supplied uniform is kept in acceptable and clean condition.
- Carry out duties in accordance with instructions from the Reception Supervisor, Operations Manager, Building Manager/ABM/RFM.
- Comply at all times with the reception processes, procedures, and standards of work assigned to the property or properties.
- Establish a professional working relationship with all staff, tenants, and contractors, serving as the first point of contact for the building.
- Meet and greet all visitors at the reception desk and maintain an accurate log of all visitor records.
- Where possible, contact each occupying tenant prior to allowing a visitor beyond reception to obtain their authority.
- Promptly assist and direct all visitors to their required location or contact within the building.
- Answer the telephone and on-site intercom system for all tenant queries in a professional manner.
- Maintain and keep up-to-date an accurate reception operations manual covering site/tenant specific and departmental processes and procedures.
- Maintain a physical presence at the reception desk; the desk must not be left unmanned during building opening hours.
- Deal with all on-site queries efficiently and professionally, directing queries to third parties as appropriate, while ensuring the person raising the query is informed of the action taken, the expected outcome, and the timeframe.
- Sign in deliveries for tenants, document the delivery on required paperwork, and obtain a signature from tenants (upon providing ID evidence) upon collection.
- Acquire working knowledge of the property/properties systems and procedures to enable taking control during team members' absences.
- Carefully complete all log reports required by the employer or the building manager.
- Do not undertake any task that could pose a risk to health and safety unless suitably trained.
- Assist other employed staff, building occupiers, and visitors in the event of an emergency.
- Comply with and ensure the landlord's obligations for health and safety and fire precautions are always met. Ensure contractors adhere fully to contractor management and site H&S requirements in line with company and site procedures.
- Be aware of and abide by all rules, terms, and conditions of the company at all times.
The nature of work at SMR means that tasks and responsibilities are, in many circumstances, unpredictable and varied. All staff are therefore expected to work flexibly when the occasion arises where tasks are not specifically covered in this Job Description but must be undertaken.
Skills, Knowledge and Experience
- Excellent verbal and written communication skills.
- General Education to GCSE standard or equivalent.
- Reliable, helpful, and well-presented.
- Team player with strong customer service skills, able to provide a helpful and polite service.
- Pleasant telephone manner and efficiency in relaying messages and taking instructions.
- Ability to deal with confidential information.
- Good organisational and time management skills.
- Careful and conscientious with an aptitude for attention to detail.
- Willingness and ability to learn on the job, keen to undertake training and career development.
- Solid Corporate Customer Service Experience.
- A bubbly, positive attitude, and a visible passion for customer service.
Job Details
Working hours - 40 hours per week / Salary - £33,238.40 p/a
