Job Summary

This role provides administrative support to various teams and Heads of Department within Amundi (UK) Limited. Key duties include acting as a first point of contact, sharing workload with other Admin team members, and supporting Heads of Department and management teams. The role involves coordinating travel and itineraries, managing diaries, handling confidential information, and providing general administrative and facilities support as required.

Responsibilities

  • Act as a first point of contact and share workload with other Administration team members.
  • Provide support for Heads of Department and the management team.
  • Organise business trips for relevant departments, including booking flights, hotels, taxis, and itineraries; adapt to changes as needed.
  • Calculate and process expense claims from business trips; control and submit for approval.
  • Maintain diaries, arrange appointments, and act as gatekeeper to prevent scheduling clashes; proactively resolve conflicts.
  • Prepare general correspondence, including confidential documents; draft responses where appropriate.
  • Organise incoming/outgoing mail, courier services, and special delivery requirements.
  • Provide support to other team members as needed; handle overseas visitors’ agendas.
  • Schedule committees and prepare documents for senior-level meetings; screen calls and relay messages as appropriate.
  • Provide admin and facilities support as required; liaise with the Paris office for meetings and visitors.
  • Print and collate documentation as required; organise internal and external ad hoc meetings.
  • Take meeting minutes; support the preparation of client events and internal/external events.
  • Create promotional posters/materials for events; create and maintain the London Branch SharePoint site (intranet).
  • Provide reception cover for lunch/holidays and admin annual leave coverage for the admin team.
  • Update attendance reports regularly; support other ad-hoc administrative and facilities tasks.

Term / Contract: Internship/Trainee (12 months)

Qualifications

Education

  • Bachelor Degree / BSc or equivalent

Experience

  • Self-starter with a “can-do” attitude, willing to adapt and take on challenges.
  • Highly organized with the ability to multitask; excellent time management; team player.
  • Strong verbal and written communication skills.
  • Strong Microsoft Office skills, particularly Outlook, PowerPoint, and Excel.
  • Ability to independently assess issues and initiate solutions.

Skills

  • Proficient in Microsoft Office (Outlook, PowerPoint, Excel); strong general IT skills.
  • Excellent organisational and diary management capabilities.
  • Professional communication and problem-solving abilities.
