Purpose of the Role
The main purpose of this role is to maintain a professional presence at the front reception desk, providing assistance to all personnel visiting and utilising the building, from daily visitors to permanent tenants. This involves sustaining a professional outlook to deliver exceptional service and create a positive first impression.
Key Responsibilities
- Ensure the highest standards of presentation are maintained at the property or properties, keeping the reception area clean, tidy, welcoming, and up to five-star audit standards.
- Maintain a very high standard of personal appearance at all times, consistently displaying a courteous, professional, and helpful nature. If a uniform is supplied, it must be kept in acceptable and clean condition.
- Perform duties strictly in accordance with instructions from the Reception Services Supervisor, Building Manager, and Operations Manager.
- Comply with all reception processes, procedures, and work standards assigned to the property or properties.
- Establish a professional working relationship with all staff, tenants, and contractors, serving as the first point of contact for the building.
- Meet and greet all visitors at the reception desk and maintain an accurate log of all visitor records via the building visitor management system.
- Where possible, contact each occupying tenant prior to allowing a visitor beyond reception to obtain necessary authority.
- Promptly assist and direct all visitors to their required location or contact within the building.
- Answer the telephone or on-site intercom system professionally for all tenant queries.
- Maintain and keep up to date an accurate reception operations manual detailing site/tenant specific and departmental processes and procedures.
- Maintain a physical presence at the reception desk; it must not be left unmanned during building opening hours.
- Deal with all on-site queries efficiently and professionally, directing queries to third parties as appropriate. Ensure the person raising the query is informed of the action taken, the expected outcome, and the timeframe involved.
- Acquire working knowledge of the property’s systems and procedures to enable taking control during team members' absences.
- Carefully complete all log reports required by the employer or the building manager.
- Assist the Reception Supervisor and Building Management, as well as tenants, with planning, organising, and booking on-site events and pop-ups.
- Employees must not undertake any task posing a risk to their health and safety unless suitably trained.
- Assist other employed staff, building occupiers, and visitors in the event of an emergency.
- Comply with and ensure that the landlord's obligations for health, safety, and fire precautions are always met.
- Be aware of and abide by all rules, terms, and conditions of the company.
- Comply with and undertake all necessary training to perform reception duties efficiently and safely.
Skills, Knowledge and Experience
The nature of work at SMR means that tasks and responsibilities are often unpredictable and varied. All staff are expected to work flexibly when tasks are not specifically covered in the Job Description and must be undertaken.
Essential
- Excellent verbal and written communication skills.
- General education to GCSE standard or equivalent.
- Reliable, helpful, and well-presented.
- Team player with strong customer service skills, capable of providing helpful and polite service.
- Pleasant telephone manner and efficiency in relaying messages and taking instructions.
- Ability to handle confidential information.
- Good organisational and time management skills.
- Careful and conscientious with an aptitude for attention to detail.
- Willingness and ability to learn on the job, and keenness to undertake training and career development.
- Solid Corporate Customer Service Experience.
- A bubbly, positive attitude, and a visible passion for customer services.
Desirable
- Knowledge of Savills systems.
- Experience or interest in event planning.
Working Hours and Salary
Working Hours: 8 am to 5 pm, 40 hours
Salary: £33,000 PA
