Job summary
The HR Operations Intern is responsible for supporting all aspects of HR Operations, reporting to the managers within the HR operations function to ensure compliance and exceptional service delivery. They ensure accurate and timely data entry and documentation of all employee life cycle events, resolve HR Operations related queries, and provide accurate and insightful process management.
Key responsibilities
- Ensure high standards of BAU delivery in allocated HR Operations activities, including timely and correct data inputs, documentation, reconciliation, and invoicing. Activities include (but are not limited to) contracts, screening, onboarding, right-to-work checks, probation, leavers letters, references, record creation/updation in HR systems, international mobility, holidays, regulatory activities, internal audit and governance, benefits, invoicing, and offboarding.
- Prepare HR documentation following GDPR guidelines and upload on HR systems accurately and efficiently.
- Process HR actions on various HR systems and update trackers timely, accurately & efficiently.
- Ensure process maps are up-to-date, correct, and followed.
- Embed and follow a 4-eyes check in all processes.
- Act as first line of support for HR Operations queries and ensure timely resolution or escalation as required.
- Establish self as subject matter expert for allocated HR Operations areas; identify improvement opportunities and recommend solutions.
- Ensure satisfactory and timely closure of audit or risk management points; implement mitigants as needed and follow up.
- Coordinate with HRIS, HR Business Partners, Tax, ER, Legal & Compliance, Risk Mobility, regional HR, overseas managers, and vendors for ongoing cases and clarifications.
Systems & data
- Ensure accurate and timely data entry of employee data in HR systems; upload and save relevant documentation.
- Process changes such as cost centre movements and job title changes; maintain accuracy.
- Implement controls (e.g., 4-eye checks) and monthly reconciliation reports to ensure data quality across processes (employment documents, right to work, probations, screening results, certifications, etc.).
- Maintain HR reports to identify and prevent potential errors or delays.
Payroll
- Support the processing of the monthly payroll by ensuring correct inputs and adherence to the payroll timetable and schedule.
- Respond to payroll-related queries from employees and the Payroll team in a timely manner.
Projects
- Actively participate in allocated HR projects and contribute to the HR roadmap.
- Build knowledge in other areas of HR Operations.
