Personal Assistant

We are seeking a high-calibre professional to join our team as a Personal Assistant.

Responsibilities

  • Ensure all Group policies, rules and regulations are complied with at all times
  • Perform day-to-day secretarial support to the assigned teams and visiting executives as appropriate
  • Provide administrative support to the assigned teams
  • Coordinate with peers on office procurement duties
  • Prepare documents and presentation materials, ensuring attention to detail
  • Organize, file and distribute office materials, utilizing central filing resources and Group electronic filing archiving systems in line with audit/compliance guidelines
  • Schedule appointments, coordinate meetings, and actively manage the calendars of the direct line manager
  • Reinforce secretarial best practices following new joiners and existing workforce efficiently
  • Make travel arrangements for assigned team members in accordance with the CIB travel policy; adhere to Expense policy; accurately prepare and timely submit travel and expenses reports and invoicing
  • Support visiting executives with local travel and meeting logistics, office access and workstation arrangements
  • Ensure all appropriate approvals and recordings in systems are input for client entertainment, meetings and travels
  • Screen visitors and telephone calls and handle internal or external correspondences
  • Provide IT system support to the assigned team, offering up-to-date, accurate information on relevant databases relating to client/marketing activity
  • Perform ad hoc assignments as required, handling a substantial workload without sacrificing quality
  • Effectively manage information risk and report any exceptions to the Group standards to the Line Manager or Business Management team

Requirements

  • Exercise accurate judgment and demonstrate the ability to make sound decisions with minimal supervision
  • Excellent coordinator with strong organizing capabilities to manage a diverse range of internal and external parties
  • Energetic, confident and tenacious with excellent written and verbal communication skills
  • Proficient in Word, Excel, and PowerPoint
