Project Coordinator

Role Purpose

The Project Coordinator (PC) is responsible for ensuring all assigned projects are documented and uploaded to the PMWeb platform, ensuring all data entry is correct and aligns with the client’s expectations and those of the Project Managers. They will also be responsible for the administration of the project managers to ensure the team as a whole is successful in its goals and objectives.

This role ensures efficient and consistent updates on all project activities to meet contractual obligations, helping to achieve the Client’s regional on-time project delivery objectives, financial management and control, data consistency, and risk management.

Major Responsibilities

Ownership

  • Assist the Project Managers to develop the project plans.
  • Load all projects onto the PMWeb platform in advance of project commencement.
  • Constantly monitor the progress of all projects under their control.
  • Ensure regular review of project data.
  • Provide analytics review.
  • Collate and review supply chain quotes.
  • Understand the local client’s key business drivers.
  • Support the Facilities Management (FM) and Clients team to upload small works, where applicable, to OVP.

Client/Stakeholder Management

  • Serve as the primary point of contact for JLL for the JPMC Account regarding projects.
  • Ensure PMWeb is regularly updated to meet the contractual obligations of JLL for the JPMC Account.
  • Manage relationships with key stakeholders in the Client’s organization.
  • Work with the project managers to plan, schedule, and constantly review the capital plan works, especially those allocated to JLL.
  • Work with the Design & Construction (D&C) team to develop, schedule, and consistently review the Business As Usual (BAU)/small works plan.
  • Develop and maintain a detailed understanding of the Client’s business and the key factors influencing their requirement for our services.

Financial Management

  • Work with project managers/owners to collate, review, and upload quotes for projects.
  • Provide reports detailing gaps in the project financial process.
  • Help support the agreed country growth targets for their sub-regions.
  • Develop an understanding of the services provided by Jones Lang LaSalle and identify opportunities to cross-sell services and make growth recommendations.

Contract Management

  • Ensure all aspects of the role adhere to the contract.
  • Be responsible for the reporting of key performance indicators, service levels, and other measures.
  • Escalate requirements for change and ensure the change control process is adopted and implemented.

Operations

  • Facilitate the transfer of information for projects delivered under the Integrated Facility Management (IFM) contract throughout EMEA (Europe, Middle-East and Africa).
  • Keep information on PMWeb up to date.
  • Transcend PMWeb skills to the general working team to assist with collaboration and efficiency.
  • Organize communications according to time zones and integrate with the 19-20 Project Managers who host the projects throughout EMEA.
  • Report with clarity and precision to team members.

Candidate Specification: Key Selection Criteria

Ideal Experience

  • Minimum of 1 year’s experience in a similar role.
  • Experience in handling client and/or firm sensitivities—knowing when to escalate with urgency or how to de-escalate certain risks.
  • Experience in translating client needs into existing or new business growth.
