The Role
We are seeking an Operations Analyst based in New York with a hybrid work schedule.
Role Summary
The Operations Analyst will support the Private Capital broking teams throughout the policy lifecycle and assist with surplus lines compliance filing preparation. As part of the Private Capital Operations team, the analyst coordinates with brokers and various cross-functional departments to ensure all best practices are followed and service-level agreements are met according to internal standards. This role involves compiling relevant surplus lines filing documentation with broking teams, reconciling financial information on policies (premiums, taxes, and fees), and preparing materials for submission to state surplus lines authorities. This position is located in our New York City office, with some opportunity for flexible remote work.
Key Responsibilities
- Provide support to brokers, operations, finance, legal, and compliance teams throughout the policy lifecycle.
- Apply knowledge of insurance rules and regulations across various states and insurance products offered by Howden Private Capital, using general insurance best practices to review and validate policy information.
- Complete carrier and state surplus lines forms, ensuring policy information is accurate, and returning completed forms to clients, Howden brokers, or insurers/MGAs as required.
- Collaborate with broking teams to compile and organize all relevant surplus lines filing documentation for each policy.
- Reconcile financial information on policies, including premiums, taxes, and fees, to ensure absolute accuracy before filing.
- Prepare and submit surplus lines filings with state surplus lines authorities, adhering to all applicable regulatory deadlines and requirements.
- Monitor changes in state surplus lines filing requirements and update internal processes accordingly.
- Follow up with clients and insurers to satisfy policy conditions during the post-bind, closing, and post-closing processes, proactively chasing documents ahead of due dates to ensure file completeness.
- Review and negotiate client Non-Disclosure Agreements (NDAs).
- Draft and distribute NDA Joinder Agreements to insurers and Non-Reliance Letters (NRLs) to Due Diligence providers, consolidating proposed changes and collaborating with brokers for review.
- Ensure data accuracy by adhering to Quality Assurance requirements, validating the accuracy of system entries, and keeping files current when accounts are bound or lost.
- Perform KYC checks on prospective clients.
- Develop a strong understanding of internal standards in conjunction with regulatory requirements to ensure strict compliance.
- Respond promptly to customer needs and solicit customer feedback to continuously improve service quality.
- Complete other duties and projects as assigned.
Qualifications
- 1-5 years of experience; experience in a related field is preferred.
- General understanding of insurance and surplus lines rules and requirements is preferred.
- Bachelor’s Degree or equivalent relevant professional experience.
- Exceptional attention to detail.
- Proven ability to prioritize, multi-task, and meet deadlines in a fast-paced environment.
- Strong ability to collaborate and communicate effectively with all levels of an organization.
- Proficiency in Microsoft Office suite, including Word, Excel, PowerPoint, Visio, and Outlook.
What You Will Gain

Compensation and Benefits
The expected base salary range for this role is $70,000 - $85,000; the actual base salary will be determined based on the candidate's experience and work location. This role is classified as exempt under the Fair Labor Standards Act (FLSA).
In addition to a competitive base salary, employees are eligible to receive a discretionary bonus. Howden provides a variety of benefits and programs, subject to eligibility, including:
