Job Purpose
Responsible for the coordination and administration of risk engineering related services within the TMHCC Japanese Business division.
Key Responsibilities
The role includes responsibility for:
- Providing support for the Risk Engineering team in the UK and Europe.
- Assisting the Head of Risk Engineering (HRE) and Deputy in establishing the survey list.
- Allocating survey requests to TMHCC Risk Engineers in conjunction with the HRE & Deputy.
- Distributing completed loss prevention reports to UWs, brokers, and customers.
- Allocating survey requests and coordinating Third-Party Risk Engineers with the HRE & Deputy, and distributing completed reports, including processing associated invoices.
- Generating reports detailing performance against KPIs for the Risk Engineering team, and completing follow-ups where reports indicate delays in the survey process.
- Serving as the office point of contact for Risk Engineering, providing assistance to Underwriting, Global Services, Business Development, and Claims departments when required.
- Content development and management of internal and client resources.
- Assisting in maintaining the report writing platform and associated documentation.
- Maintaining the department pages/section on the intranet system (The Port).
- Managing risk improvement follow-ups, reporting, and updating on the report writing platform.
- Assisting underwriting in developing relevant departmental reports.
- Acting as the focal point for Japanese Business departmental reporting.
Administrative Duties
- Distributing risk engineering correspondence to team members.
- Content management of internal resources to support field operations.
- Creating and maintaining electronic and paper filing systems.
- Preparing monthly and quarterly engineering activity and UW management reports and general departmental administration.
- Serving as the point of contact for UWs, brokers, and Policy holders.
- Organizing the preparation of risk improvement status report forms and the publication of survey reports, covering letters, and status reports to clients/brokers as necessary.
- Discussing new survey requests with the HRE & Deputy and allocating them to engineers as required.
- Providing administrative support for key client account meetings.
- Monitoring Fire Protection and Fire Detection system impairment notifications for all accounts received via email, passing them on to the RE/UW concerned for review and action. Responding to sites when requested by the RE with appropriate comments/questions, and following up as necessary.
- Storing location information in appropriate folders.
- Making appointments and arranging meetings on behalf of the Risk Engineering team as required.
- Assisting with internal Risk Engineering training/presentations.
- Assisting with organizing Risk Engineering Seminars.
- Assisting with travel arrangements as required.
Information Technology Responsibilities
- In conjunction with IT, assisting in maintaining the report writing platform (currently RE-Port) and liaising with the support team to correct system problems.
- In conjunction with IT, providing support for RE-Port.
- In conjunction with IT, providing RE-Port training to system users as required.
- Assisting with user acceptance testing once RE-Port system upgrades have passed through the IT system testing process.
- Generating bespoke management & UW reports from RE-Port (SQL Reports) and the TMHCC reporting system as requested.
- Verifying, assuring, and correcting the quality of data in the RE-Port system.
- Developing reports and data from RE-Port to help track risk improvements and UW requirements, etc.
- Helping develop and maintain Risk Engineering tools/spreadsheets.
Other Job Functions
- Undertaking special assignments and projects assigned by management.
- Championing company values and working in accordance with organizational behaviours.
- Remaining aware of and complying with relevant rules and regulations in relation to Financial Crime & Conduct.
Skills and Experience Specification
Qualifications
- A-Levels or higher, combined with relevant coordination and administration work experience.
Technical Capabilities
- Demonstrated knowledge of Microsoft Office applications (advanced Excel).
- Knowledge of underwriting tools is preferred but not essential (e.g., Eclipse, Power BI).
- Experience managing processes, systems, and administrative responsibilities, including relevant liaison with key stakeholders, preferably within an insurance company or similar organization.
- Knowledge of SQL Report Services is desirable but not essential.
