Role Responsibilities

  • Responsible for all administrative aspects of a portfolio, including:
    • File setup on client accounts
    • Ordering reports
    • Processing physical stock and/or bond certificates
    • Preparing all material for client review meetings
  • Work under the direction of the Investment Advisor to complete all client requests.
  • Support risk and compliance requirements for the team, including:
    • Mitigating losses due to error while remaining mindful of possible contingencies
    • Coordinating and/or supporting investment or client service teams’ monthly REV and New Account Review processes and documentation (as directed by your supervisor)

Major Duties

  1. Ensure portfolio materials are prepared for account review meetings with clients by retrieving reports from the EDS, PIMS, IMS, and PAS systems.
  2. Set up files with account documentation for existing or new clients (e.g., automatic payment, pledging securities, address changes, statement addresses, investment guidelines, fees).
  3. Order reports for portfolio managers or clients as requested.
  4. Communicate with clients and portfolio managers on client requests; ensure portfolio managers follow up with client requests.
  5. Interact with partners primarily through administrative support to receive and communicate information related to client relationships or portfolios.
  6. Work with the tax area to research discrepancies and oversee adjustments on client accounts regarding tax cost issues.
  7. Respond to client inquiries for account information and initiate transactions requested by the client (e.g., re-register gift stock, remit proceeds, sell gifts). Process physical stock/bond certificates and complete DTC transfers.
  8. Follow up with clients regarding inquiries via telephone or written correspondence.
  9. Process client cash transfer requests; determine whether funds are available in the investment account and contact the portfolio manager if cash must be raised.
  10. Process fund trades via CIT or all-in-one bank applications by established deadlines.
  11. Review and analyze fee worksheets to ensure fees are calculated appropriately.
  12. Adhere to National Investment Guidelines, feedback from the REV peer review process, and observe sound risk management practices.
  13. Provide solutions to atypical or infrequently occurring problems using existing practice, precedents, or procedures.
  14. Contribute to the quality, timeliness, and effectiveness of the team by using discretion to modify work practices and processes to achieve results or improve efficiency.

Knowledge and Skills

  • Knowledge of investment products, services, and terminology (typically obtained through on-the-job training) to prepare materials for client meetings.
  • Strong analytical, organizational, and communication skills to meet meeting deadlines and resolve client or administrative problems.
  • Proficiency in learning and using multiple systems required to perform the role.
  • A broad understanding of the job and application of skills across multiple processes, procedures, and systems, or deep skills within a single area.
  • Understanding of how the team integrates with others to achieve team objectives.
  • Ability to explain detailed and/or complex information within the team.

Experience

  • 0–2 years of experience within the financial services industry.
  • May act as an informal resource for team members with less experience.

Salary Range

$64,170 - 102,810 USD

Salary range is a good faith estimate of base pay. Northern Trust provides a comprehensive benefits package including retirement benefits (401k and pension), health and welfare benefits (medical, dental, vision, spending accounts and disability), paid time off, parental and caregiver leave, life & accident insurance, and other voluntary and well-being benefits. Northern Trust also provides a discretionary bonus program that may include an equity component.
