Invoice Analyst

Summary

Invoice Analyst reviews, codes invoices, and collects required documents for construction projects within Capital Projects. Verifies adherence to policy related to new vendor setup and insurance compliance. Analyzes invoice discrepancies and works with the Project Owner to prepare reclassifications to ensure projects are coded to the correct job and budget. Ensures all necessary approvals are obtained and standard company procedures are followed. Applies accounting experience and judgment to plan and complete a variety of complex tasks that require some creativity and latitude.

Key Responsibilities

  • Manage the full accounts payable cycle from receipt of invoices to payment, including coding invoices, matching contracts/change orders/purchase orders, obtaining approval, and verifying budget.
  • Manage Payscan workflows and ensure accurate coding, including obtaining required lien waivers and required documents from vendors.
  • Ensure invoices are reviewed within 48 hours of being received into the Invoice Analyst workflow.
  • Interpret contract provisions to help resolve claims, including voiding invoices/payments and reissuing payments to vendors.
  • Analyze contract/purchase order billing discrepancies, create datasheets to pinpoint issues, and devise and implement solutions.
  • Verify project signoffs from all parties, update records, initiate documentation, and follow up on requests for approval of work not previously covered in the contract; process and obtain approval of contract change orders.
  • Monitor compliance with contract requirements and ensure all conditions are satisfied before approval of the final invoice.
  • Receive, research, and resolve internal and external inquiries related to payment and budget status, including communicating resolution of discrepancies to the appropriate party.
  • Prepare payable expense reclassifications and check requests for Capital Projects.
  • Responsible for quarterly purchase order close-out for Capital Projects.
  • Responsible for new vendor setup and support in optimizing adoption of the VendorCafé Invoice Submission Program.
  • Manage vendor relationships and build effective partnerships.
  • Assist the team with gathering support for audits, including pulling documentation.
  • Perform other projects as required.

Minimum Requirements

  • Bachelor's degree and at least 1–2 years of experience in the field, or in Accounts Payable and/or Accounting.
  • Familiarity with UK invoicing regulations and financial compliance standards to ensure accurate invoice processing, documentation, and adherence to company policies.
  • Yardi/Payscan experience preferred.
  • P-card reconciliation experience preferred.
  • Knowledge of lien waivers preferred.
  • Construction industry experience preferred.
  • Extensive knowledge of Microsoft Excel, Word, and PowerPoint.
  • Good judgment, effective and clear communication, detail-oriented and accurate execution, strong analytical skills, initiative, ability to take direction well, teamwork, ability to interface with all levels of personnel, adaptability to changing priorities, and comfort working in a fast-paced environment.
