Role Summary

The Nasdaq MarketSite Events Team supports and collaborates with internal business partners to manage and execute listed and newly listed company events and client meetings in our Client Experience Center. The role focuses on providing tactical support for day-to-day workflow, project management, and technologies for successful event operations, along with supporting daily Opening and Closing bell ceremonies for a global client base, located in the heart of Times Square.

Hybrid Work Schedule

This position is a hybrid role (4 days a week in office, effective after the initial 90-day onboarding period; during onboarding, 5 days in office are required).

Responsibilities

Business Operations (70%)

  • Be the subject matter expert and owner of the Event Management System, including development in partnership with IT, enhancements, administration, user training, and tool effectiveness
  • Manage all client (internal and external) event space reservations and bell requests via the Event Management System
  • Develop weekly reports on bells and events for distribution across the business
  • Coordinate and secure weekly bell hosts with the Listings Team
  • Manage the team’s Monday.com project management boards for maintenance and enhancements
  • Track budget, billing, inventory, expenses, resource requirements, and cost considerations
  • Manage internal tools to centralize communications to the business
  • Resolve operational issues, document problems, and implement long-term solutions
  • Implement technology changes and operating procedures to improve efficiency
  • Identify gaps or opportunities to drive efficiencies
  • Implement and maintain event SOPs
  • Create and proof Tower Slides
  • Order, track, and ship client gifts
  • Liaise with vendors to explore opportunities to market MarketSite and grow sales revenue
  • Support the Head of MarketSite Events with ad-hoc special projects
  • Proactively take on new, impactful initiatives and demonstrate curiosity for learning

Event Operations (30%)

  • Greet bell ceremony and VIP guests with a warm welcome on arrival
  • Support Event Planners in the daily execution of live-broadcast Opening and Closing Bell ceremonies
  • Assist Event Producers in executing first-trade ceremonies for IPO clients
  • Check all meeting rooms and event spaces at start of day
  • Plan and execute meeting requests in the event space
  • Demonstrate superior customer service to all clients
  • Support bookings of Opening/Closing bell ceremonies with short notice; proactively identify timely, worldwide events requiring 24–48 hours’ notice
  • Act as a liaison with other departments for information sharing and event awareness
  • Execute client photo opportunities and bell viewings
  • Check and prep all event meeting spaces

Qualifications

  • Education: Bachelor’s degree, preferred in communications, marketing, or hospitality
  • Experience: 1–2 years in operations, events, marketing, account management, business planning, or a similar field
  • Prior experience or interest in the events industry is a plus
  • Strong analytical, planning, organizational, and problem-solving skills
  • Proven experience with marketing and budget management systems
  • Client-facing with excellent written and verbal communication skills
  • Highly organized with exceptional attention to detail
  • Self-starter with strong operational, project, and time management skills
  • Proficient in Microsoft Outlook, Word, Excel, and PowerPoint
  • Helpful experience: Salesforce, Monday.com

Nasdaq provides a competitive rewards package that recognizes employees and their families and incentivizes contribution to Nasdaq’s overall success. The base pay range for this role is $70,000 – $123,000. In addition to base salary, Nasdaq offers a generous annual bonus/commission, equity, comprehensive benefits, and opportunity for growth. Exact compensation may vary based on factors including skill set, experience, education, business needs, and market demand.
