Role details

Facilities Assistant

Location: London office. Working hours are from 09:00 to 18:00, with flexibility to supervise and monitor contractors out of hours, including weekends and project works.

Responsibilities

  • Sort incoming mail for distribution and dispatch outgoing mail before midday
  • Process certified/return receipt packages and deliver to the post office
  • Respond to service calls and emails
  • Review furniture needs and reconstruct furniture as needed
  • Identify cleaning deficiencies in the facility and proactively address areas requiring attention
  • Ensure the physical appearance of the office meets company standards
  • Collaborate with building engineers on service requests
  • Maintain conference rooms, including set-up and clean-up after meetings and events
  • Support staff with day-to-day office needs (e.g., troubleshoot or repair desks, daily moves, changing toners)
  • Ensure office supply and kitchen areas are well-stocked
  • Log and track all incoming priority packages and deliver to recipients with signature time and date
  • Coordinate and schedule pickups and deliveries
  • Ad hoc team requirements as they arise, including:
    • Holiday cover for Office Management/Facilities team

Qualifications / Skills

  • Microsoft Office experience
  • Strong Excel and data entry skills are a plus
  • Detail-oriented
  • Demonstrates thoroughness and strong ownership of work
