Responsibilities
Strategy support / analysis
- Observe changes in HLP headcount plan, analyze trends, and implications for the portfolio to enable GRE to react timely to real estate changes.
- Assist in obtaining business requirements, stacking plan analysis / presentation, and support real estate strategy and presentation.
Operations Management
- Provide support to the Cluster Head in handling user inquiries, operational matters, and follow-ups. A one-stop service for LOBs.
- Lead or support new regional/global initiatives and rollouts.
- Collaborate with internal functional groups (finance, design and construction, risk and control, real estate consultants, lines of business, etc.) to ensure reports and matrices are updated in a timely manner.
- Manage systems to ensure contingent workers, CWOC, PASSPORT, EMS, Ariba, Concur payments, rent variances, and GL substantiation are validated promptly. Maintain client TPO/TPI processes per compliance requirements.
- Maintain accurate occupancy records and allocation by LOBs.
- Monitor space utilization, including TP, building occupancy, and flexible seating patterns to help GRE plan and manage the right type of facilities in the workplace. Support clients to optimize workplace efficiency.
- Support GRE budget, forecast, spend analysis, and saving initiatives.
- Liaise with the landlord on day-to-day operational issues.
- Maintain records and correspondence relating to leases, landlords, statutory authorities, and other third parties for audit purposes (BCP, call tree tests, internal approvals, commitments, etc.).
- Risk management through the self-assessment process, resiliency planning and testing.
Transaction Management
- Support and ensure that all leases are managed and renewed in a timely manner.
- Support the transaction/lease negotiations process in partnership with GRE Transaction team, landlords, and legal (internal/external).
Design and Construction
- Manage the coordination of churn / small projects between LOBs and Property Management. Report weekly on any issues.
- Liaise with landlords, vendors, and internal support teams on project issues. Work with Design and Construction and Property Management teams. Assist in obtaining business requirements.
- Maintain records relating to contracts and important correspondence with landlords, vendors, statutory authorities, and other third parties.
- Keep updated records of all internal approvals and business requirements.
Candidate Specification: Key Selection Criteria
Ideal Experience
- University graduate with knowledge of Real Estate, Architecture, Property Management, Engineering, Surveying, or other building-related subjects.
- Strong customer and service delivery focus. Ability to manage user expectations regarding service delivery.
- Ability to think laterally and creatively when analyzing and solving problems.
- Excellent planning and organizational skills to prioritize work and meet deadlines.
- Good understanding of financials. Strong analytical ability.
- Sound computer skills. Expertise in all Microsoft applications.
- Effective interpersonal, communication, and collaborative skills. Proactive.
