Business Administrator
What this job involves
The Business Administrator will support the onsite Facilities Management team by providing professional administrative support to deliver building operations. This includes administrative activities in accounting, finance, maintenance, operations, vendor oversight, purchasing of materials, equipment and supplies, occupancy services, and helpdesk. The goal is to ensure the smooth running of our service while delivering an exceptional end-user experience at client sites.
What your day-to-day will look like
- Provide administrative support to the onsite Facilities Management team
- Maintain log books and documentation related to Health and Safety
- Deliver monthly reporting including trackers, audits, inspections, and Health and Safety
- Use and maintain online task system, ensuring correct data entry and system administration
- Support the facilities management team in scheduling and covering key roles
- Follow required emergency prevention and operational controls, coordinating daily and weekly schedules as required
- Maintain, organize, and control all central files, information, data, and reports on site
- Assist in reviewing, maintaining, and building Standard Operating Procedure manuals
- Ensure compliance with JLL policies, procedures, and standard practices
- Ensure prompt and accurate management of purchase orders in the internal financial management platform
- Raise POs on internal and external JLL & Vanguard systems; support projects with invoicing
- Ensure Plan-On Documents are uploaded onto the system within the month
- Raise landlord and JLL permits
- Respond promptly to customer complaints, escalating to the line manager as required
- Develop strong working relationships with key Client stakeholders/partners, landlords, managing agents, and facilities vendors
- Assist in managing all contractors on site to ensure they meet required standards (including inspection of vendors’ works)
- Assist in procuring vendors and services as required
- Support financial processes to ensure timely and accurate completion of financial management requirements
- Assist with monthly operations reports and monitoring of finance trackers
- Follow established escalation and incident reporting procedures; ensure tools are used monthly
- Provide support for regular management reports and projects as required
- Achieve Key Performance Indicators (KPI) and Service Level Agreement (SLA) targets
What we’re looking for
- A desire to develop within the workplace and gain knowledge by supporting a multidisciplinary team
- Experience in an administration or coordinator role providing operational support
- Ability to work collaboratively as part of a team with professionalism and a service-focused approach
- Aptitude for multitasking and managing multiple projects and teams
- Strong communication skills and openness to new ideas
- A commitment to excellence and continuous improvement
- Proficiency with computer software (Word, Excel, PowerPoint, Outlook) and an interest in technology
- Role requires site presence a minimum of 2–3 days per week
