About On The Stage (OTS)

On The Stage began in the arts and continues to be powered by the arts. What started as a platform for theatre makers has grown into the ticketing, marketing, and fundraising engine for the full spectrum of live entertainment, including K-12 drama programs, community theatres, professional performing arts organizations, comedy clubs, music venues, immersive experiences, and location-based entertainment.

Founded by Tony and Olivier Award-winning Broadway producer Hunter Arnold and Silicon Valley tech veterans, OTS was built by people from the arts who understood what was missing. This origin shapes everything—the language we use, the problems we prioritize, and the conviction that every live entertainment producer, whether non-profit or commercial, deserves Broadway-caliber infrastructure.

Today, OTS serves thousands of organizations across the US. Our all-in-one platform delivers essential infrastructure: ticketing with mobile-first checkout, a native CRM, automated marketing, a full fundraising suite, revenue accelerators, and real-time reporting, all sharing a single patron record. Every feature supports our mission: helping live entertainment organizations endure, expand, and prosper.

We believe in power without complexity—intuitive enough for a solo educator to launch in minutes, yet sophisticated enough for the most complex commercial productions. OTS is at a pivotal growth stage, and the marketing infrastructure we build today will directly shape how we serve the next wave of performing arts and live entertainment organizations.

Job Description: Marketing Campaign Coordinator

On The Stage is seeking a highly organized, detail-oriented Marketing Campaign Coordinator to execute integrated campaigns that generate demand, engage prospects, and contribute to pipeline growth.

This is a hands-on role for an early-career marketer who enjoys transforming plans into polished, measurable campaigns. You will coordinate email and webinar programs, manage day-to-day campaign operations in HubSpot, collaborate with our paid digital advertising agency partner, support social distribution, and monitor performance across HubSpot and Salesforce.

The ideal candidate combines strong project management and communication skills with curiosity regarding marketing technology and data. While you do not need to arrive as an expert in every system, you must be comfortable learning new platforms, troubleshooting execution issues, and using performance data to drive improvements.

What You'll Do

Email Campaign Execution

  • Build, test, schedule, and deploy prospect and customer email campaigns in HubSpot.
  • Maintain campaign calendars and coordinate copy, creative, audience lists, segmentation, approvals, and launch dates.
  • Create and maintain lists, workflows, forms, landing pages, and campaign records.
  • Perform quality assurance across links, personalization, formatting, suppression logic, tracking, and mobile rendering before launch.
  • Monitor deliverability, opens, clicks, conversions, and downstream lead and pipeline performance.
  • Support segmented, lifecycle, sponsored, and re-engagement email programs.

Webinar Campaigns

  • Coordinate webinar campaigns from initial setup through post-event follow-up.
  • Build registration pages, forms, confirmation and reminder emails, attendee lists, and on-demand follow-up campaigns.
  • Manage webinar logistics, including speaker coordination, rehearsals, recordings, and attendee reporting.
  • Ensure registrant and attendee data flows accurately into HubSpot and Salesforce.
  • Publish recordings and coordinate post-webinar email, social, and sales follow-up.

Conferences and Trade Shows

  • Coordinate with associations and vendor partners to secure OTS presence at industry events.
  • Manage logistics for attending, such as booth shipping, giveaway swag orders, and printed materials to ensure orderly arrival and sufficient quantities.
  • Receive or generate attendee lists and facilitate pre- and post-show outreach to help secure on-site meetings.
  • Coordinate with Sales and Customer Success team members for list outreach, attendee engagement, pre-show preparation, talking points, and travel logistics.
  • Manage campaign monitoring and tracking in Hubspot and Salesforce to report on success.

Paid Digital & Vendor Coordination

  • Serve as the day-to-day marketing contact for OTS's paid digital advertising partner.
  • Coordinate campaign briefs, creative assets, audience inputs, landing pages, tracking requirements, approvals, and launch timelines.
  • Review campaign pacing and performance with the vendor, surface questions or issues, and keep internal stakeholders informed.
  • Assist with organic and paid social campaign execution across major social platforms.

Reporting & Performance Monitoring

  • Build and maintain recurring reports and dashboards in HubSpot and Salesforce.
  • Monitor HubSpot <> Salesforce data flow and escalate issues related to sync, segmentation, routing, or campaign membership.
  • Track key campaign metrics, including engaged leads, demo requests, conversion rates, cost per lead, webinar registrations and attendance, sales opportunities, and marketing-influenced pipeline.
  • Monitor progress against campaign goals, flagging risks, anomalies, or underperformance early.
  • Prepare clear campaign recaps detailing outcomes, learnings, and necessary next steps.
  • Partner with Marketing, Sales, and GTM Operations to enhance visibility from initial engagement through the pipeline.

Cross-Functional Campaign Coordination

  • Work closely with Marketing, Sales, GTM Operations, Customer Success, and external partners to keep campaigns moving forward.
  • Manage multiple timelines, dependencies, and approvals while maintaining high quality standards.
  • Organize campaign assets and maintain accurate records in OTS's project management and documentation systems.
  • Proactively communicate status, blockers, decisions, and next steps.

Qualifications

Required Qualifications

  • Bachelor's degree in Marketing, Communications, Business, or a related field.
  • 1–3 years of experience in marketing, campaign coordination, demand generation, marketing operations, or a related role.
  • Experience executing email or integrated marketing campaigns.
  • Familiarity with HubSpot or another marketing automation platform.
  • Working knowledge of CRM concepts and the relationship between marketing activity, contacts, accounts, opportunities, and pipeline.
  • Ability to build reports, interpret campaign performance, and communicate findings clearly.
  • Strong project management and organizational skills, with exceptional attention to detail.
  • Clear written and verbal communication skills.
  • Ability to manage multiple deadlines and collaborate effectively with internal stakeholders and external vendors.
  • A proactive, solutions-oriented mindset and willingness to learn unfamiliar systems.

Systems & Platform Familiarity

  • CRM platforms (e.g., Salesforce).
  • Webinar hosting platforms (e.g., Zoom Webinars).
  • Social media platforms and publishing tools.

Preferred Qualifications

  • Hands-on experience building emails, lists, forms, landing pages, workflows, campaigns, and reports, preferably in HubSpot.
  • Experience planning and coordinating webinars or virtual events.
  • Experience running paid ad campaigns across various networks, or coordinating with an external marketing vendor.
  • Familiarity with UTM parameters, conversion tracking, lead attribution, and campaign taxonomy.
  • Experience in B2B SaaS or a related technology company.
  • Experience in or a passion for live entertainment, theatre, performing arts, and education is a significant plus.
  • Basic familiarity with Canva or similar creative tools.

How You'll Succeed

  • Campaigns launch on time, accurately, and with thorough quality assurance.
  • HubSpot is organized, dependable, and easy for the team to navigate and use.
  • Webinar registrants and campaign responders receive timely, coordinated follow-up.
  • Paid digital projects move smoothly between OTS and our agency partner.
