What this job involves
As a Receptionist, you will play a pivotal role within the Guest Relations team, reporting to the Assistant Hospitality Manager. The ideal candidate will be the first point of contact for clients and visitors, as well as for all incoming calls from clients, employees, and the general public, providing exceptional customer service while managing front office operations. This role requires a polished, friendly demeanor, strong organizational skills, and the ability to multitask in a fast-paced environment.
- Provide excellent customer service at all times
- Deliver high standards of client service via face-to-face, telephone, and email communication; adhere to the client’s six success factors
- Foster a friendly, pro-active, and productive manner towards customers
- Ensure all client requests and inquiries are actioned promptly, accurately, and professionally
- Handle telephone switchboard—both internal and external to the organization
- Coordinate the efficient and accurate booking of meeting rooms via an EMS system; collaborate with AV and Catering teams to satisfy additional meeting requirements
- Provide daily support to the Catering team; assist with event planning and coordination
- Adhere to procedures and processes and manage client expectations while anticipating their needs
- Maintain the general tidiness of the reception area and back office
- Liaise with Building Management Office and internal teams to ensure the Client Floor is well maintained and presentable at all times
- Manage visitor pre-registration and provide escorting services for unregistered visitors
- Perform ad hoc duties as requested by management
Desired or preferred experience and technical skills
- High level of attention to detail, particularly in high-volume and high-pressure environments
- Strong customer service and interpersonal skills
- Strong verbal and written communication skills in both English and Chinese
- Excellent personal presentation; maintain the Receptionist uniform and grooming standards
- Ability to relate positively with a wide range of stakeholders, including senior executives and professional staff
- Collaborative team player with the ability to work independently under matrix supervision
- Experience in financial/investment bank services or 4- to 5-star hotel or corporate reception/customer service roles is desirable
