Job Summary
The Guest Services Ambassador assists with the planning of internal events, including catering orders, guest registration, AV bookings, work orders, and calendar management. This role ensures exceptional client experiences through proactive communication and high-touch hospitality-focused service. The candidate must exhibit exceptional customer service and communication skills.
Key Responsibilities
- Support event operations and logistics, including scheduling the required space using client scheduling software, ordering catering, coordinating set-up, AV and technical requirements, and troubleshooting issues with facilities and service providers.
- Support the delivery of high-profile meetings and catering orders.
- Proactively manage requests and anticipate needs to avoid operational disruption.
- Respond to all queries per established standards and timeframes and ensure all communication loops are closed with client colleagues, including surveys and Work Orders.
- Report any issues with software tools in a timely manner.
- Ensure all established processes for backups, records, data, and reporting are followed.
- Establish rapport and maintain relationships.
- Handle all administrative support for meetings and events.
- Engage in a culture of continuous improvement by collecting feedback and participating in the development of best practices, new tools, and ideas that improve service delivery.
- Be part of a multi-skilled team that supports colleagues across the business to ensure colleagues always receive excellent services and experiences.
- Other duties as assigned.
Switchboard Support
- Answer and handle all phones in a timely manner according to established standards.
- Report any equipment issues promptly and conduct regular testing to ensure operations.
- Maintain records such as call volumes and report as required.
Workplace Experience
- Support collection and submission of Key Experience Indicator (KEI) data as applicable for your workstream.
Qualifications
- 1–2 years of experience in meeting planning, hospitality, or a related field.
- People person: enjoys creating experiences for others that go beyond the expected.
- Flexibility and a positive attitude in managing shifting priorities.
- Excellent communicator: ability to communicate professionally in spoken and written English.
- Ability to multitask and prioritize while ensuring consistent and elevated guest experiences and accuracy.
- Ability to work with clients at all levels of an organization, including C-suite.
- Demonstrated initiative, integrity, and good judgment.
- Highly collaborative with strong interpersonal skills.
- Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook). Experience with Eptura Engage (formerly Condeco) is beneficial.
