## Facilities Coordinator

### Location

On-site – Singapore

## What this job involves

### Providing onsite support

  
- Act as upper facilities management’s trusted right hand for facilities-related activities.
  
- Perform routine site inspections to ensure building processes and best practices are implemented and maintained.
  
- Identify opportunities to improve processes and save costs, and contribute suggestions as they arise.
  
- Provide administrative support, including front desk duties, basic housekeeping, and appointment coordination.
  
- Monitor key performance indicators (KPIs) and meet service level agreements (SLAs).

### Meeting the clients’ facilities needs

  
- Work closely with clients and suppliers onsite to identify facility-related enquiries and requirements.
  
- Support planning and budgeting activities.
  
- Participate in procurement of vendors and services from time to time.

### Making everyone safe and risk-free

  
- Ensure health and safety by keeping safe workplace procedures in place and maintaining order.
  
- Carry out safety procedures as needed.
  
- Support risk management programs, disaster recovery, and business continuity plans.
  
- Follow escalation and incident reporting procedures and comply with firm guidelines and strategies.

### Service and client focus

  
- Provide efficient services through effective interaction with client staff and vendors.
  
- Address conflicts and competing priorities effectively.
  
- Communicate clearly and remain resilient, including when working under pressure.

### Financial support

  
- Review and approve vendor invoices, purchase orders, and expense reports for accuracy and budget compliance.
  
- Forecast future financial needs based on planned activities, service level changes, and client requirements.
  
- Implement cost-saving initiatives and efficiency improvements that support account profitability.
  
- Maintain accurate financial records and documentation for audit purposes and management reporting.

### Team player

  
- Support the team and work effectively with others to achieve targets.
  
- Demonstrate strong project execution while following company standards and procedures.

## Qualifications & requirements

  
- Prior experience in facilities, property management, hospitality, or related fields.
  
- Understanding of local occupational health and safety requirements.
  
- Experience/knowledge in critical facilities and vendor management.
  
- Knowledge of various property systems.
