## Overview

The Executive Assistant (EA) will manage complex diaries, coordinate investor meetings, prepare briefing materials, handle confidential information, and provide day-to-day administrative support. This role offers the opportunity to work in the Investor Relations (IR) team and gain exposure to senior stakeholders, both internally and externally. It is pivotal in ensuring the smooth running of the IR function and requires excellent communication skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

To provide exemplary service to the IR team in all aspects of administration, diary management, and coordination.

## EA Support to Co-Head of Investor Relations

  
- Organise multi-destination travel, including visas, itineraries, transfers, accommodation, and coordination with other offices.
  
- Extensive diary management for both clients and senior internal meetings.
  
- Act as an ambassador to clients, counterparties, and third parties.
  
- Ensure invoicing and expenses are managed appropriately and on time for the team.
  
- Provide coverage for senior executives during the absence of other administrative team members.

## Investor Relations

  
- Serve as the primary point of contact for clients, responding promptly to enquiries, including investor requests (email presentations, DDQs, PPMs, and other documents as required).
  
- Organise travel and client meetings for other team members (two Product Specialists and two Directors).
  
- Organise and coordinate investor events, conferences, and seminars, managing the whole process (e.g., Global Investor Summit).
  
- Maintain and update Investor Relations systems, databases, and distribution/contact lists.
  
- Perform other administrative duties related to CIM’s investor relations function, including investor questionnaires, minutes of meetings, and correspondence with the Fund board of directors.
  
- Coordinate conference attendance for the team, ensuring registration is completed and materials prepared.
  
- Have a strong knowledge of the CRM system and its functions.
  
- Work with other departments to provide regular reports and updates.
  
- Process expenses.
  
- Maintain tracking spreadsheets for investor activity.
  
- Manage the additional inbox.
  
- Manage the process for annual investor gifts.
  
- Demonstrate strong written and verbal communication skills.

## Education & Qualifications

  
- University degree is preferable.

## Experience

  
- Candidates ideally would have experience working within investor relations in financial services.
  
- Preferred candidates would have experience with our CRM (Folio Metrics) or equivalent.
  
- Extensive experience arranging travel, travel documentation (including visas) for various locations, and liaising with external travel companies as required.

- Excellent communication skills with strong written and spoken fluency in English.
  
- Strong interpersonal skills with a team-oriented approach.
  
- Meticulous attention to detail.
  
- Highly organized and adept at prioritizing projects and handling daily queries.
