Position Overview

The Travel & Expense Processor plays a critical role in reviewing and auditing expense claims and travel requests, and in supporting the corporate card program to ensure compliance, timely reimbursement, and excellent service delivery to Jefferies employees globally. This role offers the opportunity to develop processes and support strategic initiatives alongside counterparts in the US and senior management.

This position reports to the Head of Travel & Expense EMEA & APAC.

Responsibilities

Travel Approvals & Policy Compliance

  • Review and manage out-of-policy travel approval requests across APAC and EMEA
  • Assess business rationale, cost efficiency, and traveller safety/security
  • Liaise with the firm's Travel Management Companies and senior management as needed
  • Ensure all decisions align with firm travel policies

Expense Processing & Audit

  • Review and audit expense report submissions for policy compliance and adequate documentation
  • Monitor and analyse expense reports as directed by operational management
  • Identify and research potential policy or regulatory violations
  • Evaluate out-of-policy expense requests; reject or escalate as appropriate
  • Assist with expense reallocations and special circumstances

Corporate Card Program Support

  • Approve or cancel cards for new joiners and leavers across multiple locations
  • Manage delinquent accounts in coordination with the card provider, cardholders, and management
  • Reconcile American Express Business Travel Accounts

Customer Service & Stakeholder Management

  • Respond professionally to calls and emails via the Travel & Expense support desk
  • Build and maintain strong relationships with internal clients and employees
  • Exercise confidentiality and discretion when resolving expense queries
  • Identify and close gaps between approved travel and expense claims

Training & System Support

  • Assist end users with SAP Concur expense management and travel booking systems
  • Support implementation of new products, including training, documentation, and troubleshooting
  • Program & Operational Excellence
    • Ensure all Travel & Expense service levels, procedures, and standards are maintained
    • Coordinate with Accounts Payable, Compliance, Internal Audit, and other departments as required
    • Escalate issues appropriately and support team projects and management initiatives
    • Maintain regular contact with global Expense Processors for knowledge sharing and delivery alignment
    • Develop subject matter expertise in policy, regulatory requirements, and Travel & Expense platforms
    • Other tasks and projects as required

Requirements

Experience & Skills

  • 1–2 years of experience in accounting, expense management, financial services, or operations
  • Excellent written and verbal communication and interpersonal skills
  • High attention to detail and accuracy
  • Strong analytical, problem-solving, and interpretation skills
  • Outstanding customer service skills
  • Ability to set priorities under pressure, meet deadlines, and manage multiple tasks
  • Sound judgment in applying company policy and determining appropriate actions
  • Ability to work independently and collaboratively across all levels of staff
  • Strong computer skills with proficient knowledge of MS Outlook, Word, Excel, and PowerPoint

Technical Skills

  • Proficient in MS Outlook, Word, Excel, and PowerPoint
  • Experience with SAP Concur is a plus
