Job Description
Dimensional's Legal division is an in-house team of client-focused attorneys, paralegals, and legal assistants who partner with internal and external teams to help provide legal expertise across business functions, legal systems, and jurisdictions.
The Legal Administrator will be responsible for providing administrative, clerical and other support to the European Legal team. The Legal Administrator will work with lawyers and other team members employed by or providing services to Dimensional UK and may work autonomously as well. The Legal Administrator will work closely with the business and with various specialist teams within the global legal team located in the US and Ireland.
Responsibilities
- Coordinate reviews of board agendas and materials for UK and Irish entities. Manage quarterly board meeting logistics, including coordinating with the technology team for virtual components, working with paralegals and attorneys to prepare and upload board materials to Directors in a timely and efficient manner, and interacting with board members, internal teams, and external service providers as needed.
- Prepare, revise, and compile materials for board meetings and related records. Handle follow-ups from board meetings as needed.
- Navigate the Legal group’s document management system, track document revisions, control versions, and redline changes.
- Assist with document execution and coordination with executives; arrange filing of signed documents and letters. Support filing and related project work as needed.
- Manage calendars proactively, including coordinating schedules with other staff for Board meetings.
- Serve as a local administrator for the legal spend management system, including coordinating with outside firms and internal partners to open new vendor and matter entries; assess invoices according to standard billing guidelines; process allocations to internal matters for cost tracking and reporting; and respond to vendor requests as needed.
- Manage corporate recurring and annual items lists and coordinate with other team members to complete recurring items.
- Provide assistance on general corporate and operational matters and related filings (e.g., with UK Companies House).
- Assist with requests for materials related to controls and financial audit.
- Coordinate reviews of mandate classification for “CASS 8” purposes.
- Coordinate with the global legal team members as needed.
Qualifications
- Direct work experience at a law firm, or supporting senior attorneys, executives, or boards of directors is desirable.
- Bachelor's degree, or equivalent, is required.
- Experience with legal spend management, document management, document comparison, and board materials systems is preferred.
- Excellent attention to detail.
- Ability to handle privileged and confidential matters with care.
- Self-starter who can manage multiple time-sensitive projects and meet deadlines.
- Strong time management, organizational, and communication skills (verbal and written).
- Ability to work productively in a team environment; experience with a hybrid office and work-from-home environment is preferred.
- Technical proficiency with Microsoft Office Suite and other legal technologies (ebilling, legal document repository, etc.), plus a willingness and ability to learn and adapt to new technologies.
